Adding your team
Two separate things, and the distinction matters for what you pay:
- A login signs in. It takes a seat.
- A worker has hours on a job. It is free, and it does not need a login.
Somebody who works on site and records their own time is both. A subcontractor whose hours the office enters is a worker with no login. A bookkeeper who never touches a job is a login with no worker.
Inviting somebody
Settings → People → Invite. Enter their email address and choose a role.
They get an email, click the link, and set a password. Nobody is added to your workspace without accepting — including somebody who already has a SimpliWork login from another company. They will see who invited them and choose.
Accepting also creates a worker for them, so they can start a timer straight away.
If they already have a SimpliWork account
They will not be asked for a new password — they accept with the login they have. One person, one password, however many companies they work for.
Roles
Four roles ship with every workspace. They are a starting point, not a straitjacket — you can change what each one can do under Settings → Roles & permissions.

Two rules are built in and cannot be switched off:
You cannot grant a role you do not hold yourself. A Manager cannot make somebody an Admin. This stops an invitation being a route to more access than the inviter has.
You cannot approve your own time. Whatever the role — see Approving time.
Workers without logins
Workers → Add worker. Name them, set their rate, done. Their hours get entered by whoever is doing it — usually an office manager on the Time screen.
This costs nothing. Only logins consume seats.
Removing somebody
Settings → People, then remove them from the workspace.
Their hours stay. Time already logged is part of the job's record and removing a person does not rewrite history — the entries remain, attributed to them.
Removing somebody ends their sessions immediately. Somebody who was signed in when you removed them does not stay in until their browser next asks.
If they have a login at another company, that is untouched. You are removing them from your workspace, not deleting their account.
