In the app

The bell in the header. Things that happened in your workspace that involve you — a client replied on a job, an estimate was accepted or declined, a client uploaded a document, somebody mentioned you in a note.

They arrive live, without a reload. Mark one read, or clear them all.

The counts on the sidebar are a different thing: those are counts of work waiting on you, not notifications. A 3 next to Time means three entries need your approval.

Email your clients get

These go out because you did something. There is nothing to configure.

  • An invitation to the portal.
  • An estimate, when you send one.
  • An invoice, when you send one.
  • A document link, when you share one.

If you would rather send it yourself, every send screen also offers Mark as sent — it records that the document went out without SimpliWork sending anything.

Email you and your team get

Two of these are off until you switch them on, and that is deliberate.

Overdue invoice reminders

Settings → Time & billing rules → Send overdue reminders.

Off by default. These go to your customers, so switching them on is a decision about how your business talks to people who owe it money, and nobody should discover it was made for them by a software update.

A client who should never be chased can be excluded individually on their own record — there is usually one.

The approval digest

Settings → Time & billing rules → Send approval digest.

One email a day to each approver listing what is waiting on them, rather than a message per submission. A ten-person office with three approvers would otherwise send thirty emails on a Friday afternoon, and approval is rarely urgent enough to be worth the interruption.

The Monday digest

A weekly summary of the workspace, sent Monday morning. On by default.

Both digests arrive in your workspace's morning, which is why Settings → Locale → Time zone matters. 08:00 UTC is 03:00 in New York.

Turning your own off

Profile → Notifications. Each person controls their own copy of the weekly digest and the approval digest, whatever the workspace setting says.

You can preview the digest before deciding — it sends you the current one on demand, so you are switching off something you have actually read.

What you cannot unsubscribe from

Transactional email: password resets, invitations, verification codes, and the alerts that say something in your workspace needs attention. Those are how the product works rather than things it sends you.

A marketing email, if we ever send one

Every one will carry a one-click unsubscribe, and unsubscribing never affects any of the above.

If an email does not arrive

  1. Check spam, especially for the first one to a new address.
  2. Check the address on the record — an invoice goes to the client's billing contact, not to the client's name.
  3. Ask us at support@simpliwork.io. We can see whether it was sent and what happened to it, which is usually faster than guessing.
