Tracking time
Two ways in, and both end up in the same place.
The timer
Time → Start timer. Choose the client, the category and — if you want — the job, then start it. Stop it when you finish and the entry is written.
The timer needs a client and a category because those decide the rate. Without them, an hour has no price.
A timer left running overnight
Past 24 hours SimpliWork stops and asks, rather than silently recording the hours since.
You get two ways out: say when work actually stopped, or discard the timer. There is no "stop it now" button, deliberately — pressing it would bill every hour the timer ran, which is the exact bad data this exists to prevent.
Only one timer runs at a time per person. Starting a second one is refused rather than quietly stopping the first.
Logging time by hand
Time → Log time. Choose the worker, the date, the hours, the client, the category and optionally the job.
This is how office staff enter hours for a crew that does not use the app, and how anybody corrects a day they forgot to log.
Which job?
A job is optional on a time entry. Some work genuinely belongs to a client without belonging to a job — a phone call, a quote visit, a site inspection.
Where a category is tied to a particular job, choosing it fills the job in for you.
Correcting a mistake
Open the entry and edit it. What you can change depends on where it has got to:
| Entry is | You can |
|---|---|
| Logged, not approved | Change anything |
| Approved | Change it; approval is cleared and it needs approving again |
| On a draft invoice | Take it off the invoice first |
| On a sent invoice | Nothing — the invoice is a document you have sent somebody |
Every change is recorded. The job's Activity tab shows who changed what and when, which is what makes a corrected entry defensible rather than suspicious.
Rounding
If rounding is set up (Settings → Time & billing rules), it applies when the entry is saved and the rounded figure is what gets stored. An entry of 1 hour 3 minutes at 15-minute rounding is stored as 1 hour, not displayed as one.
What each person sees
Field crew see their own hours and nobody else's — not a display rule but a data one, so there is no view that leaks it.
Managers and admins see everybody's, and can filter by worker, client, job, category or approval state.
