Approving time

If Require time approval is on (Settings → Time & billing rules), hours wait for somebody to check them before they can be invoiced.

If it is off, skip this page — hours are billable the moment they are logged. That is the right setting when you work alone, and the wrong one the moment somebody else logs time.

Approving

Time, filtered to Submitted. Review the entries, then approve them one at a time or select several and approve together.

What to look at:

  • Hours that look like a typo. 80 instead of 8 is the classic.
  • The right client and category, because that is what sets the rate.
  • Work with no job on a job somebody is billing by the piece.

Rejecting

Reject with a reason. The reason is shown to whoever logged it, so "please split this between the two units" is more use than "wrong".

A rejected entry goes back to the person to fix and re-submit. Nothing is deleted.

Nobody approves their own

Whatever their role — including yours.

An admin who logs an hour cannot approve it. Somebody else must, and if you are the only person in the workspace, switch approval off rather than working around it.

Why it works this way

Approval exists so a second pair of eyes sees the hours before a client does. Approving your own is the same as not approving at all, so the product does not offer it rather than trusting everyone to resist.

Working in two companies

If you work for two businesses that both use SimpliWork, you have one login and a separate worker record in each. The rule holds per workspace: you cannot approve your own hours in either, and you cannot see one company's hours from the other.

After approval

Approved hours are ready to invoice — see Invoices.

Approval can be undone. Editing an approved entry clears it and sends it back for approval, which is what keeps a corrected hour honest.
