Documents and photos

Every file on a job in one place: the policy page, the signed estimate, the before photos, the moisture report, the dump ticket.

Where they come from

The Documents tab on a job shows everything attached to it, whatever put it there:

The client's own Documents view rolls the same list up across every job they have running, which is the view you want when somebody asks "did we ever get their policy number".

Uploading

Drag a file onto the tab, or use Upload.

Up to 25 MB, and these formats: PDF, JPEG, PNG, WebP, HEIC, DOCX and XLSX. HEIC is what an iPhone takes photos in, so there is nothing to convert on the way from a phone.

What is actually checked

SimpliWork opens the file and checks what it really is, rather than believing the name on it. A program renamed to .jpg is refused. So is a photo saved with the wrong extension — which sounds harmless, and is how a file ends up stored as something nothing can open six months later.

Sharing one with the client

Tick Share with client on any document, and it appears in their portal against that job. Untick it and it disappears again.

Nothing is shared by default. A job's documents are internal until you say otherwise, receipts included — a client does not need to see what you paid the supplier.

Your clients can upload too, which is how a policy page or a signed form arrives without an email thread. What they send is marked as theirs, so you can tell what you were sent from what you sent. Their allow-list is narrower than yours: PDF, JPEG, PNG and DOCX only.

Previewing

Images open inline, PDFs open in a reader, and anything else offers a download.

A preview link is good for one hour. Long enough to read a report, short enough that a URL copied out of the page stops working before it can be passed around.

Every file is delivered by SimpliWork itself rather than from a separate storage address. It costs us a little more to run, and it means there is no stray link to one of your job photos that could be forwarded, bookmarked or found.

Deleting

Only a file somebody uploaded by hand can be deleted.

A receipt belongs to its expense and a signed agreement is the record of what was agreed — those go when the thing they belong to goes, and not before. That is not a missing button; it is the point.
