Plans and seats

What you pay for

Seats, monthly or yearly. A seat is a login, not a person on site.

Workers without logins are free and unlimited. A subcontractor whose hours the office enters costs nothing — see Adding your team.

Current prices are on the Billing screen, priced exactly as Stripe will charge them.

Two seat classes

Field seats are cheaper because they deliver less. SimpliWork enforces the line rather than trusting it: a field-seat user cannot be put into a role that carries View bill rates or View cost rates, and those permissions cannot be added to a role that field-seat people are already in.

Either attempt fails with a message naming the person and the cost of the upgrade. It is never a silent downgrade — quietly stripping a permission somebody has just granted leaves an admin certain they did something they did not do.

Two plans

Standard covers the core: clients, jobs, time, approval, expenses, estimates, invoices and payments.

Professional adds the things that involve somebody outside your office:

A trial resolves to Professional, so nothing disappears while you are evaluating.

When a subscription lapses

Nothing is deleted. Ever. The stages are:

Trial ends, or you cancelThe workspace goes read-only at once. Everything stays visible; writing stops.
A payment failsSeven days of grace, with the workspace fully working, while Stripe retries.
30 days read-onlyThe workspace is closed. Sign-in is refused. Still nothing is deleted.

Reopening a closed workspace is one status change. Get in touch.

Your clients keep their records

A lapsed workspace keeps the plan it was actually using rather than dropping to the cheapest one, and the client portal keeps serving invoices and PDFs even after the workspace closes.

Your clients are not party to your bill, and the documents they were sent are theirs.

Changing plan or seat count

Billing → Change plan. Stripe prorates.

Adding a seat: buy it, then assign it to somebody on Settings → People. Removing somebody frees their seat.

The billing screen shows nothing to buy

That means no prices are configured yet, not that anything is broken. It is a real answer, and the page still shows your invoice history.
