Tasks and the board

A job is a list of things that have to happen. Tasks are that list, and the board is where the crew looks at it.

Adding a task

On the job, Tasks → Add task. A title is all that is required.

Worth filling in when you have it:

  • Who it is for. Unassigned work is work nobody has agreed to do.
  • Due date, if the date matters to somebody other than you.
  • Estimated hours, which is what turns the job into a plan rather than a list.

If the job has a project type, its tasks are already there when you create it. A water loss and a fire job do not share a checklist, and that is where the checklist lives — see Customising for your business.

Switching view changes nothing about the data. Filters carry across.

Statuses are yours

The board's columns are your task statuses, set up once under Settings → Task statuses and used by every job.

Out of the box it is To Do → In Progress → Done. Most restoration firms want something closer to the work — Scheduled, On site, Waiting on adjuster, Waiting on parts, Complete. Add them, order them, and the board follows.

Name the waiting states

"Waiting on adjuster" as its own column is worth more than any other change you can make to a board. Work that is stuck stops looking like work that is being done.

A status in use cannot be deleted out from under its tasks. Move them first.

Tasks and time

A time entry can name the task it was for. When it does, two things follow:

  • The task shows hours actually spent against the hours estimated.
  • An invoice grouped by task bills one line per task, with the hours summed behind it — which is usually the version a client recognises. See Invoices.

Entries with no task fall back to their category, so a workspace that does not use tasks still gets a sensible invoice.
