Customising for your business

Most of SimpliWork works out of the box. This page is the part you shape to your trade, and it is worth an hour once rather than a workaround every week.

Project types

Settings → Project types. A project type is a kind of job, and it decides what a new job of that kind starts with: its task list, its contact roles, its custom fields and its numbering.

Four templates ship, and each is a starting point you can edit:

Restoration Claim is the one most of you want. It arrives with Claim Number, Policy Number, Date of Loss, Loss Type, Carrier, Adjuster Name, Adjuster Phone and Deductible, grouped under Claim and Adjuster — and it is visible in the client portal.

You do not need a project type to start. A job with no type still works.

Require an estimate first

Each type has Require estimate before invoice, and it is off in every template.

On, it does not block anything. Invoicing a job of that type with no accepted estimate behind it raises a warning naming the job, and creates the invoice. A hard block would stop you billing work you have already done, mid-month, because of a setting somebody turned on once.

Only an accepted estimate clears it. A sent one is an offer; a draft is a thought.

Custom fields

The things your trade records that generic software has no box for.

Eight kinds: text, long text, number, money, date, yes/no, pick one, pick several. A field can be required, and it can carry help text under the input — worth using, since "Date of Loss" is the day the damage happened rather than the day it was reported, and a label alone leaves too much room.

Client fields are workspace-wide and cannot be per-type, because a client with jobs of three types has no single type to inherit from.

Renaming is safe

A field's label and the key it stores under are separate. Rename "Adjuster Name" to "Adjuster" and every value already recorded stays attached.

Task statuses

Settings → Task statuses. The board's columns, shared by every job.

To Do → In Progress → Done is what ships. Most restoration firms want something closer to the work — see Tasks and the board.

Contact roles

The parts people play on a job: adjuster, property owner, building inspector, subcontractor, tenant. They come from the project type — each template brings the roles its kind of work involves, and those are what a job of that type offers.

Roles are labels on a contact record. Naming somebody the adjuster gives them no access to anything.

Roles and permissions

Settings → Roles & permissions. Four roles ship — Admin, Manager, Worker, Client — and what each can do is yours to change. See Adding your team.

Two rules cannot be switched off:

  • You cannot grant a role you do not hold yourself.
  • You cannot approve your own time.

And one that follows from what you are paying: a field seat cannot hold rate permissions. The attempt is refused by name, with the cost of the upgrade — never silently downgraded, because quietly stripping a permission somebody just granted leaves an admin certain they did something they did not do.

Branding

Settings → Branding. Your company name, address, logo and a colour. They appear on the invoices and estimates you send, and the colour becomes the app's accent for everybody in your workspace.
